Guardoc Browser Extension Privacy Policy

This Privacy Policy describes how Guardoc ("we" or "us") collects, uses, and shares personal information in connection with the Guardoc Chrome extension service (the "Extension" or the “Service”).

 

“You” or “User” means admin users who will use the service on behalf of our clients, who need to create a user account in our platform in order to use and operate the Service.

 

This Privacy Policy applies to information that is identified or can reasonably be identifiable to natural persons (“Personal Information”). You are not legally obligated to provide the information that is specified below, however failure to provide it may impede our provision of the Service to you.

 

In connection with customers or patients of our corporate clients, including healthcare providers, Guardoc functions as a Service Provider as defined in the California Consumer Privacy Act (CCPA) or equivalent terms under other state laws. Equivalently, the Guardoc serves as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA).

Personal Information We Collect and how do we collect it

  • Login Credentials and contact details: We collect your username and password that you create to connect you securely to the Guardoc Service. We recommend against storing passwords within the extension due to security risks. Consider using secure tokens or other alternative methods. We also collect your organizational email address and phone number for password recovery.

  

  • Information you may provide through the internal messaging system: You can collect links, snapshots, and copy other types of data from the EHR web application by either capturing that data, or by sending such data in the support messaging system to Guardoc. This channel can help support the auditing and error correction process.

 

  • Chat Messages: We collect chat messages between you and Guardoc support to resolve any issues you may encounter and to improve customer service.

Information on others: If you provide us information on others, it is your responsibility to verify that this is done in accordance with the provisions of the law. The provision of information about others is subject to their consent and this Privacy Policy.

How We Use Your Personal Information

We use your personal information to for purposes described in this Privacy Policy only, which includes:  

  • Provide and operate the Extension and its core functionality, including allowing you to log in and use the Service and also guiding you through the audit and error correction process.

  • We use the workflow of error correction done by the User to improve the Extension by developing and training models that enhance its accuracy and effectiveness. We do not use your personal information for such a purpose.

  • ensuring information security.

  • handle technical issues.

  • handling applications.

  • prevention of fraud and/or illegal activities, and protection of legal rights and legitimate interests of ours and of others, all subject to the provisions of any law.

  • Respond to your support requests and provide customer service.

How We share Personal Information

We may transfer your personal information to third parties, including to third parties overseas, for the purposes describe above only, in the following cases:

 

  • For the purposes set out in this privacy policy, for purposes we are authorized to perform by law, and for legitimate interests that we have, such as the prevention of fraud. Such transfer of information will be subject to the third party’s undertaking to protect the privacy and information security at a level that is appropriate for the type of information being transferred.

 

  • As part of our engagement with subcontractors and suppliers that provide us with services (such as cloud service providers for data storing, companies that provide support and maintenance for equipment, software providers, accountants, lawyers, banks, customer service centers).

 

  • As part of a sale of the Company’s business (in part or in whole) or during negotiation of such sale, provided that such third party meets the provisions of applicable laws.

 

  • Under a court order instructing the company to do so or as required by law. 

 

  • For defense of legal claims. 

 

We may transfer and store your personal information outside of the country or region where you live. If we transfer personal information outside the location where it was collected, we ensure to have appropriate safeguards and ensure that such transfers meet applicable local legal requirements.

Links to third parties

When using the Extension, links to external pages may appear, such as advertisements, banners, links etc. Should you choose to use such links, once you click on them you will be subject to the terms and the privacy protection policy of such websites/pages/applications. It is hereby clarified that you are fully responsible for the use of such outside websites/pages/applications.

Your Rights

Depending on the law where you reside, you may have certain rights under applicable privacy laws, such as accessing, correcting or deleting your personal information, subject to certain exceptions provided in the law as those rights are not absolute. You can exercise your rights by contacting us at support@guardoc.health. Subject to legal considerations, we will make reasonable efforts to honor your request in accordance with applicable laws. In order to comply with your request, we may ask you for additional information to verify your identity and for security purposes.

 

You will not be discriminated against for exercising any of your rights. Please understand that, if the exercise of your rights limits our ability to process personal data (such as a deletion request), we may no longer be able to provide you with the Service.

Security

We take reasonable security measures that are appropriate to the personal information we process and in line with the standards of information security in order to protect your information from unauthorized access, disclosure, alteration, or destruction. However, please remember that no method of transmission over the internet or method of electronic storage is 100% secure.

You are also responsible for maintaining appropriate means of information security, such as the use of a strong password, anti-virus software, software updates etc. We recommend against storing passwords within the extension due to security risks. Consider using secure tokens or other alternative methods.

 

Data Retention

We retain your information for as long as necessary for us to provide our services. In addition, we will retain your personal information for as long as we need it for resolving disputes and legal defenses, conducting audits, pursuing legitimate business purposes, enforcing agreements and in order to comply with our legal obligations.

 

Changes to this Policy

We may update this Privacy Policy from time to time. Should we make material changes to this Privacy Policy, we will notify you of such material changes by posting the new Privacy Policy on this page.
